Workflows with template

In SIGN8, you can create templates that make it easier for you to send standard documents even faster. How you can create a template is described here. You will need at least one template for the following section.

Start a new workflow 

Step 1: Log in to your SIGN8 account and select "New workflow" from the navigation bar on the left.

Step 2: Click on the "Use template" tile in the menu.

If you want to work with templates but have not yet created one, we will show you how to create one in this tutorial.

As some parameters were defined when the template was created, you do not need to select an expiry date or a team here. All other fields are identical to the workflow without a template.

Step 3: In the next step, select the desired templates. You can view the template again by clicking on the eye symbol.

Step 4: There are two options for adding recipients to a workflow with a template.

  1. Without bulk mailing: If you only want to start a workflow with the template, you can do this by first selecting the role and then assigning this role to a contact.

  1. With bulk mailing: Templates are also very suitable for sending documents in bulk (e.g. sending a privacy policy to all employees). To do this, you must activate the "Bulk mailing" option. However, this option is only available if only one person is stored in the template. In this tutorial, we will show you how to optimise the use of bulk mailing. 

By clicking on the "Download template" button, you can download an example and share it with your contacts. You can also use your own files. Now assign the corresponding fields.

Summary

Step 5: In the last step, you will receive a summary of your workflow. You can now change the standard text. You can check the documents again by clicking on the eye under the Documents tab.

Step 6: Now send the workflow or start bulk shipping to start the signature or sealing process.
