The qualified seal is characterised by the fact that it identifies the recipient. The following describes how to proceed after receiving an invitation to a qualified seal.
Invitation
Step 1: You will receive an e-mail from us as soon as you are part of a signature or sealing process, called a workflow in SIGN8. In this e-mail you will find general information about the workflow as well as a button and an alternative link that will take you to our website.
Depending on the settings of your e-mail programme, the button in the e-mail may no longer work. In this case, click on ‘Alternative link to workflow’. You can also find your signature type in the email description.
Step 2: After clicking on the link, you will be taken to our page where you can sign the documents. You do not need to log in again to do this.
If the initiator of the workflow has specified a password, this will be requested.
Step 3: You will then be taken to an overview page where you can view all the information about the signature process. You can see the individual steps in the top line. Please check your personal information in particular.
Step 4: You can reject the workflow at any time by clicking on the ‘Reject signing process’ button. The creator of the workflow will be informed accordingly. If your personal information is correct, you can continue by clicking on the ‘Confirm contact details’ button.
Step 5: You can view the document on the next page. As soon as several documents are stored, a list will be displayed. In this case, you must have viewed each document once before you can continue. Check the documents as usual. Continue by clicking on the ‘Next’ button.
Identification
Step 6: If you are sealing qualified for the first time and therefore do not yet have a certificate, you must first identify yourself. We have provided you with a range of possible identification methods. If you require detailed information on the identification procedure, please click on this
link.
If you already have a valid certificate, this step will be skipped and you will have to identify yourself via your second factor (SMS or phone number).
Under the button "More options" you will be suggested further identification methods.
Step 7: After successful identification, you must enter a certificate password and your mobile phone number. These serve so that you do not have to re-identify yourself during another qualified signature process. Sign the documents by clicking on the button "Sign now".
Summary
Step 8: Finally, you receive all signed data within the workflow. We also provide you with an audit report containing information about the workflow.
