How to apply for a seal?

Seal application in 7 steps:

  1. Register: Create an account with a business subscription: Register - SIGN8
  2. Fill out application: Go to the administration area and complete the seal application.
  3. Review: Your application will be reviewed within 48 hours.
  4. Notification: If the details match the commercial register, you will receive an email with the subject “Invitation to a workflow”.
  5. Go through the workflow: Open the workflow and follow the instructions.
  6. Seal creation: After completing the workflow, we will create your seal within 48 hours.
  7. Notification: You will receive an e-mail as soon as your seal is available.

How do I use my seal?

Use your seal in 4 Steps:

  1. Upload the document: Use “Quick-Sign” on the start page and upload the document to be sealed.
  2. Select signature type: Select “Qualified seal” and place the signature field (xS symbol).
  3. Authenticate: Enter your certificate password and confirm the code you receive via SMS/call.
  4. Download: Your document is sealed and can be downloaded.


What do I have to consider on EPREL?

Which organization identifier do I have to select?
→ Select NRT(National Trade Register). 

What format does the organization identifier need?
→ Use NTRDE-DE. 

Does the supplier name have to be exactly the same as the name in the seal application?
→ Yes, the name must be exactly the same. 

Where can I manage my data in EPREL?
→ You can manage your data under „Manage Organization“ → „General Information“.

Do I need a qualified seal or a qualified signature?
→ Legal entities require a qualified seal, natural persons require a qualified signature. 

What do I have to consider as a registered trader (e.K.)?
→ The EPREL declaration must be provided with a QES. Then send us the file for sealing. If you have a company name, please complete the attached form and send it to us. 


Requirements for Foreign Companies:

What information is required to issue a qualified seal?
→ To issue a qualified seal, we need:

  1. For EU-based companies: The national trade register number and the register ID.
  2. For companies outside the EU: The VAT number.

What if my company is newly registered and the VAT number is not yet available?
→ Unfortunately, a VAT number is mandatory for non-EU companies. If it is still pending, we recommend providing confirmation from the relevant authority about its status. However, the issuance of the qualified seal will remain on hold until the VAT number is received.

Can I provide alternative information instead of a VAT number?
→ No, for companies outside the EU, a VAT number is a required piece of information. Alternative documentation cannot replace it.

How do I sign the seal application?
  1. Wait for the email with the subject “Invitation to a workflow” (up to 48 hours).
  2. Open the workflow.
  3. Confirm the contact details and check the document.
  4. Carry out the identification: Identification methods.
  5. Set a certificate password and make a note of it (required for future processes).
  6. Download the signed documents.

What is the certificate password?
→ You define the certificate password when signing the seal request. Make a note of it, as it will be required for all future signing and sealing processes. If you forget your certificate password, you can reset it via the certificate management: Zertifikatsverwaltung - SIGN8.

What is the difference between Seal Application and EPREL Declaration?
→ The seal application is submitted in your SIGN8 account and is used to apply for your seal. The EPREL declaration is generated in the EPREL verification process and must be provided with a qualified seal.

I have completed the seal application. What happens now?
→ Once you have completed the form, we will check your application within 48 hours. If everything is correct, you will receive an invitation to a workflow in which you must sign the application with a qualified signature.
